Position Information
St. Augustine Preparatory Academy is seeking a candidate to fill a full-time Bilingual School Secretary position (English/Spanish). The successful candidate will shine the light of Jesus in every interaction they have. This candidate should be able to demonstrate knowledge of school office operations, practices and procedures, exceptional organizational skills, and be able to accomplish work with frequent interruptions. The role requires maintaining strict confidentiality of matters related to students, families, and staff. The ideal candidate is comfortable communicating in a number of manners (phone, in-person, and email). All while demonstrating a tactful, warm, friendly and competent public demeanor. Speed and accuracy with keyboarding and word processing skills will greatly aid in this position, as will knowledge of and application of English and Spanish usage and spelling.
Job Responsibilities and Roles
- Interact with families of St. Augustine Preparatory Academy students regarding school-specific updates or activities, including attendance follow-up, behavioral issues, and other general questions
- Assist school administrators with projects and organization of the school office, while taking initiative to oversee school-specific projects (such as new student orientations) and ensure they are completed efficiently
- Interact with students who come to the school office throughout the day for attendance, behavior, medical, or other reasons
- Data entry of essential student information into the student information system, including attendance data and the corresponding communication with teachers, school administrators, and families
- Assist principal/administrator in response to parents and/or community concerns and complaints
- Assist with student arrival and dismissal activities
- Create, copy, and accurately file documents
- Perform other duties that may be assigned to assist in the flow of information amongst staff and/or families
Qualifications
- A belief in the ability of every child and a commitment to ensure excellence for each student
- Be a participating member in a local church
- High school diploma/equivalent; Associate Degree in Office Administration/ Secretarial training preferred
- Bilingual Spanish/English fluency
- Ability to work within a fast-paced environment and with minimal supervision Experience in a busy office environment preferred; effective ability to multitask
- Superb organizational and communication skills
- Understands and complies with confidentiality requirements
