In this Role, you will serve as the primary coordinator for operations, communications, and systems, supporting co-curricular programming across multiple departments. This role ensures that schedules, logistics, communication, data systems, and administrative workflows run smoothly, enabling students, advisors, and program leaders to thrive. The position functions cross-departmentally with primary support for Arts, Clubs, Summer, and College and Career programming as needed. This is a high-impact, non-leadership role focused on execution, coordination, problem-solving, and continuous improvement through systems and technology.
Co-Curricular Operations & Systems
- Manage scheduling and logistics systems for student co-curricular programming. Including events, practices, meetings, transportation, supervision coverage, and facility reservations.
- Oversee systems such as Google Workspace, PowerSchool workflows, website updates, IncidentIQ, and Bound, and manage and navigate shared calendars as applicable.
- Support budgeting logistics, purchase tracking, ordering coordination, and inventory systems for co-curricular programs.
- Serve as a central logistics point for program operations, event-day coordination, and facility use alignment
- Support program leaders with off-site tasks, purchasing, deliveries, and student transportation.
- Build operational efficiencies using Google Workspace and emerging AI technologies
Communication & Family Support
- Serve as a primary communication hub for families, students, advisors, coaches, and staff across co-curricular programs
- Send schedules, updates, changes, forms, and reminders clearly and consistently
- Support cross-department communication related to events, calendars, and last-minute changes
- Provide front-facing support for questions and problem-solving related to co-curricular programming
- Ensure consistent messaging across email, websites, and internal platforms
- Learn and help develop marketing and communications strategies related to co-curricular programming
Administrative Support for Co-Curricular Programs
- Support program leaders across Arts, Clubs, Summer, and College and Career programming
- Coordinate reporting, documentation, and other administrative tasks
- Assist with facility booking, transportation, student rosters, budget tasks, and program logistics
- Provide flexible support for co-curricular events and initiatives as needed
- Ex. Co-Curricular Field Trips, Performances, and After-School student events
- Maintain digital records and shared drives for co-curricular departments
Technology, AI & Continuous Improvement
● Learn and apply emerging AI tools for scheduling, communication, reporting, and workflows
● Improve efficiency across co-curricular programming through automation, systems design, and digital organization
● Support long-term operational scaling of co-curricular programs across campuses
